Agreements:

It is important that you read terms and conditions before you book your trip. If you submit the booking forms, you agree to terms and conditions offered by Eco Holidays Nepal Pvt. Ltd. In accordance with you, we( Eco Holidays Nepal) also agree this  terms and conditions. By agreeing these we are bound to resolve any legal or other disputes that may arise during the trip.

Brief info about  Us:

Eco Holidays Nepal  is a travel and adventure company based in Kathmandu / Nepal. We are registered and approved from the Government of Nepal as well with concern Tourism Department. We are life time member of  TAAN (Nepal Trekking Agents Association of Nepal), NMA (Nepal Mountaineering Association), NTB (Nepal Tourism Board) PAC (Porters Act) as well with other non-governments committed with Eco-Tourism and Responsible Tourism.

Booking with us:   

Before booking any trips, we believe you have read our terms and conditions. If there is any doubt, you can ask us.

A booking is valid and accepted when we send back you confirmation email after we evaluate you. Then contract between you and company activates and we are bound under company rules and regulation. Company has got right to increase and decrease price before booking is confirmed which means before contract or agreement comes into life.

Deposit for Booking a Trip

Nepal trip: Most trip booking for Nepal destinations should be made by two months earlier minimum of two weeks times, so that we arrange necessary details well in advance to avoid disappointment like hotel-domestic airlines booking and as well chartering bus-coach or booking tourist bus tickets ahead before your arrival.

25% down payment is required for booking a trip which you can transfer to Bank Account in Kathmandu / Nepal. Rest of the trip cost can be paid on arrival in Kathmandu before trek / tour departures. Applicable foreign currencies accepted like US $ – UK Pounds, and Euro or Chinese / Indian.

For Tibet and Bhutan at least minimum of one month booking ahead to arrange all logistic and entry permits for neighboring countries with 50% in advance.

You have different options like pay through Bank, pay by western union, by Online Payment method and also by Credit Cards (Visa and Master card).

If some unexpected scenario happens like delay or loss during transfer Eco Holidays Nepal does not accept responsibility. And if deposited amount and amount we receive vary in any scenario, then Eco Holidays Nepal will notify you and you are bound to pay the amount.

Online Payment method:

If you book any trip packages on Eco Holidays Nepal website via Book Now button, you need to cover your 4% extra booking fee/ credit card charge by yourself. The extra charge is taken by the bank for your secure payment processing. You need to pay the exact amount as shown on that particular trip with 4% booking charge. We think it’s the easiest way to book your preferred trip package and hence we recommend and highly encourage you to book online because it saves your precious time wasting on going to bank, etc.

So, for your ease, we have included two booking buttons in every trip.  If you want to book for fixed departure then you should fill up form that pop up when you click the booking button in the fixed departure section. But if it is new booking/ not fixed departure booking then you should click the booking button included outside of the fixed departure section.

Note:

If you’re in Nepal and would like to pay by credit card(or other cards), then we accept the credit card payment as well by using swapping machine. But, the Card processing charge/ levy(i.e 4%) should be handled by yourself.

Booking in Last Hour:

We accept your last hour booking in the eve of trip departure with 100% payment (07 days) prior to tour starting date only for Nepal Trips. This excludes trips to Tibet, Bhutan. For these country at least 3 weeks in advance prior to trip departure.

Trips Cancellation Policy for Nepal:

On booking, some might be compelled to cancel the trip with various reasons from personal / domestic, medical, health, job or with some other situations. In this case cancellation fees will be applied of 25% as cancellation charge, where you will notify us or to our overseas agents with minimum of month in advance before trip departure.

60 % cancellation fee applied on 2 weeks to a month notice. No refund on last minute or no show situation.

In some situation clients has to return or break from the tour, trekking / or any other trips earlier than proposed itinerary days due to medical / physical or personal reasons. Clients has to borne his / her own expenses on route of trekking and at hotel in Kathmandu or in any other last main cities before you departure for home.

There are no refunds, if the company has to reroute to other areas due to unavoidable circumstances and from bad weather.

If such conditions arise company holds the right and providing you a hassle free adventure holidays with enjoyable time.

Clients’ Responsibility:

A tour / trekking guide representing our company holds all authority during treks and tours.
If one behave badly or commit any unlawful act, you will be compelled to leave the tour / treks. No refund will be made in such condition. In some situations, if your activity damages reputation of company then company will fine you some amount. The amount depends on your wrongdoing.

Cancellation & Booking Changes For Bhutan:

01:       Required minimum of 30 days for cancellation notice prior to trip departure and it must be in written form, such notice will be implied from the day the note is received. Cancellation shall be valid after the company approval on receiving the documentation. The Trip shall then be termed as cancelled and then 50% of the trip amount would be deducted from the advance paid as cancellation charge.

02:       There will be no refunds if a passenger cancels the trip or leaves a trip for any reason whatsoever, either voluntarily, involuntarily or if you commit any unlawful act after the trip has commenced. We will make no refunds in such scenario.

03:       On the eve of trip departure if you are prevented in joining the chosen tour, unfortunately there is no refund regarding this, transfer or postponing options are available as the Bhutanese Government has strict Tourism act and policies.

Nepal Visa & Passport Condition:

All clients are requested to have a valid passport with at least six months validity from the return date. Nepal visas can be obtained from the Nepal Consulate or Embassy in your country or upon arrival in Kathmandu Tribhuvan International Airport.  The costs of Nepalese visas are sole / own responsibility of clients.

Bhutan and Tibet Visas & Passport Conditions:

All clients requested to have a valid passport with at least 6 months validity from return date. For Bhutan visas you need to send your passport details to Eco Holidays Nepal for visa applications at least 3 weeks prior to departure date.

Tibet Cancellation & Booking Changes:

01:       As per the company rules, there will be no refund to clients with less than 20 days’ notice given to us, on or before Trip departure. And if a client leaves the trip earlier for due to personal or medical reason whatsoever, either voluntarily or involuntarily and if committed any unlawful act after the trip has commenced. Then company is compelled to make in such scenario

02:       If client require any changes from the chosen original tour, the person who have booked the tour must submit a written document with any changes required. Then we will make every effort after the notification, but the changes cannot be guaranteed.

03:       If you are compelled to cancel from travelling on the tour by genuine reason or circumstances, for example (without restriction) due to death, injury or any serious illness of the person, close relative or friends, redundancy or jury service, in this case one may postpone or transfer your booking to another close person, as long or provided they meet all the requirements relating to that trip. You are requested to provide proof of why you were unable to travel at the time and need to change your booking. This policy is valid till 6 months since your notice is approved.

Health & Fitness:

All Treks and Tours requires sound health and good level of fitness before signing trip with us.

It’s solely client’s responsibility to inform Eco Holidays Nepal of any pre-existing medical condition or disability. That might reasonably be expected to increase the risk of your required medical attention, which may affect your capability to travel on the trips booked with us.

Children:

An authorized guardian by the parents must accompany all travelers under the age of sixteen. If you have any queries regarding age and suitability, please contact us for further information.

Publicity:

Eco Holidays Nepal  can use pictures, snaps or images of you taken during the trip without being informed and as well without compensation, for company promotion and advertising purpose whatever medium takes place.

Situation out of our control

Unpredictable circumstances such as land-slides, road blockage, flood, snow, political unrest or delay arrival etc may happen. Eco Holidays Nepal is unable to refund any payment under the above circumstances due to prior supplier arrangements. If possible we will always endeavor to provide you an alternative or substitute trip of same category.

Eco Holidays Nepal does not accept any responsibility for loss on employment, delays or compensation resulting from situations beyond our control.

Our holidays, tour / trek packages, are based on twin share accommodation. Thus, single room supplement charge will be imposed to clients, who do not have another tour participant to share accommodation with.

We reserve the right to revise pricing rates posted in our marketing material, under any circumstances, or on the pressure of various external factors that are far than our control, for instance changes in exchange rate, government action etc.

Privacy:

We may gather necessary information from you to make a booking through Eco Holidays Nepal. In such scenario, the information provided should be genuine. No private or personal information that you supply to us when making a booking, will be disclosed for any other purposes.

Risk & Liability:

We are committed to provide the best services which will give a life time journey in this connection. We perform our duties honestly & seriously to make your journey very smooth & pleasant. However, the entire program is conducted strictly under the rules and regulation of theirs’ own policies.

Eco Holidays Nepal shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Land slide, road blockage, flood, snow, political unrest, cancellation of flight, delay, sickness or accident, Any extra cost incurring there of shall be borne by the clients on the spots.

Our Responsible Tourism Policy:

Eco Holidays Nepal is  re-inventing tourism for the benefit of local people, tourists, environment and the tourism industry at large. As we expect that you will adhere to our policy and guidelines while travelling with us.

Complaints:

If you have a complaint about the trip or tour, you must tell to a tour leader or guide at the earliest opportunity, who will take the appropriate action.

Impact of the Journey:

Eco Holidays Nepal makes great effort to ensure enjoyable, comfortable traveling within our limit and control.

Client also should understand that what you might be accustomed to the western affluent countries, Himalayan or Third World and Developing Countries can’t afford such facilities.

Weather is another factor that directly impact on the journey. Hence, patience and positive in mind, enthusiasm and proper preparation beforehand is required.

The best thing is to take as it comes and think positively, then you will enjoy holiday with us.

Travel Insurance:

You must have complete travel insurance package against medical, travel for natural calamity, helicopter evacuation, personal accident, trip cancellation etc. This is strongly suggested to all our respected clients.

Tour Amendment:

To make alterations of any trek / tour itinerary, prior notice is requested. You are advised to stay in touch with us thus, but occasionally, you may be obliged to do so en route under certain circumstance for instance bad weather etc.

Your personal belongings:

On any account, we are not responsible for any loss or damage of your baggage / luggage or property even when it is shouldered by Eco Holidays Nepal porters, yaks-ponies or vehicles.

That means your personal possessions; luggage might be at your risk at the times. However, our trip escorts and guides will provide necessary safety precautions that this does not arise while with us.

Papers & Documents:

All necessary documents should be presented in sequence for example to issue visa, obtain necessary permits etc. We are not accountable in case of any trip formality not completed in time before the trip departure on the absence of essential papers and documents.

Trek / Tour Grades information:

Leisure tours or walking trips:

For any physically fit of all ages with sound health, these trips involves short walking days of few hours and more of tour with scenic drives at places of interest.  The whole trip goes from 4-5 to 8 days on trek or scenic tour.

On rafting for a day or two days is required.

Moderate Trips:

For any physically fit of all ages that have done normal walk and with sound health. These trips involves few ups and down and length of treks will be from 4-5 hours of walk every day with plenty of break in between. The whole trip goes from 2-5 to 8 days.

Adventurous Trips:

For physically fit person of all ages with sound health who have done moderate to vigorous walk or activity before or at present. These kind of treks involves long ups and down and the length of treks will be from 6-7 hours of walk every day with break in between. The whole trip goes from 10 to 20 days and even more in the high altitude.

We have listed our norms carefully so that there won’t be any misunderstanding as per our terms before signing up the forms which you must be fully committed as this is not just formality but might occur some of the incident that’s mentioned in our terms and conditions.
